Many contractors assume the biggest difference between a $5 million company and a $25 million company is better sales, more employees, or a larger marketing budget. Steve Rozenberg believes the real difference is much less obvious. According to the founder of Black Box Business Solutions, companies that continue growing are usually operating on an entirely different system long before their revenue reflects it.

"The same hustle that got you to five million will never get you to twenty-five," Steve says. "Different game, different systems."
Steve often compares running a contracting business to flying a commercial aircraft. Passengers see the view outside the cockpit, but pilots spend most of their time monitoring the instrument panel. Every gauge provides information that helps identify problems before they become emergencies.
He believes many contractors do the opposite. They focus almost entirely on what is happening in front of them, such as sales, project schedules, customer requests, and staffing issues, while paying very little attention to the operating systems underneath the business. When those systems are weak, growth simply creates more complexity instead of greater stability.
"One contractor is flying on instinct. The other is flying the system. Only one of them scales," Steve says.
For Steve, the real question is not how much revenue a company generates. It is whether the business can continue performing consistently without relying on the owner to manage every detail.
In the early stages of a business, owners can often keep everything in their heads. They know every customer, every project, and every employee. Decisions happen quickly because the founder is involved in almost every conversation.

Steve understands this transition firsthand, having experienced it while building his own property management company.
As an active commercial airline pilot, he could not be available every hour of every day. The business had to operate while he was flying, which forced him to rethink how work was being managed. Processes that depended on personal oversight became increasingly difficult to maintain, and small operational gaps became much more expensive.

Those operational changes supported the company's growth beyond 1,000 managed properties and ultimately enabled Steve to exit, as the business no longer depended on him.
Steve believes successful companies develop what he calls an operating rhythm. Rather than reacting to problems as they appear, they establish consistent ways of communicating, tracking performance, and making decisions.
That rhythm includes clearly defined responsibilities, standardized processes, measurable performance indicators, and regular operational reviews. Each part supports the others, creating a business that performs predictably instead of relying on individual effort.
He often explains that the goal is to create a company where everyone understands what success looks like before problems occur. When expectations are clear and systems are documented, the business becomes far less dependent on one person's experience or instincts.
Many contractors spend their days solving operational problems because they believe nobody else can make the right decision. Steve sees that as a sign that the business is missing structure rather than talent.
He encourages owners to ask a different set of questions. If the owner disappeared for two weeks, would employees know how to respond? Would projects continue moving forward? Would customers receive the same level of service? If the answer is no, the business has become dependent on one individual instead of its operating system.
That distinction separates companies that plateau from those that continue growing. As businesses mature, owners should spend less time managing daily activity and more time improving the systems that allow others to succeed.
